Virginia Chance School is seeking an Admissions Director to serve as a warm, organized, and highly responsive guide for prospective families as they get to know our school community.

This role is central to the family experience at Chance. The Admissions Director is often one of the first personal connections a prospective family makes with the school, helping them understand our progressive, nature-based approach; our strong preschool through 5th grade program; and the ways Chance cultivates curiosity, confidence, and resilience in children.

The ideal candidate is relational, thoughtful, detail-oriented, and energized by helping families feel seen, informed, and confident as they consider whether Chance is the right fit for their child.


Purpose of the Role:

The Admissions Director manages the prospective family journey from inquiry through enrollment, ensuring every family receives timely communication, thoughtful guidance, and a clear understanding of the Chance experience.

This person will partner closely with the Advancement Director, Head of School, division leaders, faculty, and administrative staff to support enrollment goals, strengthen tour conversion, and create a welcoming admissions process that reflects the values and strengths of the school.


Key Responsibilities:

Prospective Family Experience

Serve as the primary point of contact for families exploring Virginia Chance School.

Respond promptly and warmly to inquiries by phone, email, website forms, and other admissions channels.

Guide families through the admissions process, including inquiry, tour scheduling, application, assessment or classroom visit, acceptance, enrollment, and onboarding.

Help prospective families understand the value of a Chance education, including our progressive and nature-based approach, two-teacher classroom model, preschool through elementary continuity, and focus on curiosity, confidence, resilience, executive functioning, and joyful academic growth.

Create a welcoming experience for families who are new to Chance, as well as current families considering enrollment for a sibling.


Tours, Visits, and Conversion:

Coordinate and lead admissions tours that are warm, informative, and aligned with the school’s messaging.

Prepare for each tour by understanding the family’s child, priorities, questions, and possible decision factors.

Collaborate with division directors, teachers, and school leaders to create thoughtful, age-appropriate visit experiences.

Follow up consistently after tours and visits with personalized communication that helps families take the next step.

Track where families are in the admissions process and proactively move them forward with care and clarity.


Admissions Communication and Follow-Through:

Maintain timely, organized communication with prospective families.

Ensure that no inquiry, tour family, applicant, or accepted family falls through the cracks.

Write clear, warm, and professional admissions emails that reflect the school’s tone and values.

Support the transition from admitted family to enrolled family by helping new families feel connected before the school year begins.

Partner with the Community Engagement Coordinator and Chance Family Association when appropriate to help new families build relationships within the school community.


Enrollment Systems and Data Management:

Maintain accurate admissions records in school systems, including inquiries, tours, applications, enrollment steps, and family notes.

Use data to track admissions activity, including inquiry volume, tour conversion, application progress, accepted students, and enrollment commitments.

Provide regular updates to the Advancement Director and school leadership regarding admissions activity, family feedback, trends, and barriers to enrollment.

Support continuous enrollment and re-enrollment processes as needed in partnership with school leadership and the business office.


Internal Collaboration:

Work closely with the Advancement Director to ensure admissions conversations align with the school’s broader enrollment, marketing, advancement, and retention strategy.

Collaborate with the Marketing Manager by sharing prospective family questions, common themes, tour insights, and moments that may help strengthen school storytelling.

Partner with division directors and faculty to ensure prospective families experience the school in ways that are authentic, prepared, and mission-aligned.

Coordinate with the business office on enrollment paperwork, tuition questions, contracts, and next steps.

Represent admissions as part of a larger schoolwide effort to support enrollment health, family confidence, and institutional sustainability.

Reporting Structure:

The Admissions Director reports to the Advancement Director and works in close partnership with the Head of School, division directors, business office, marketing, and community engagement.

Requirements
Preferred Experience:

Experience in admissions, enrollment, advancement, education, communications, customer experience, hospitality, sales, or relationship-based work.

Familiarity with independent schools, early childhood education, elementary education, or the Chance community.

Strong writing and interpersonal communication skills.

Experience managing detailed processes, follow-up systems, or family/client pipelines.

Comfort speaking with families about tuition, value, fit, and decision-making.
